How to build a seating chart, step by step

1. Place your tables. The preset bar has the seven shapes real events use — Round (8), Round (10), Banquet (8), Banquet (10), Square (4), Classroom row, and Theater row. One click drops each table with its chairs already attached.
2. Arrange the room. Drag tables into the layout your space actually has and rotate banquets to follow the walls. New tables land in open space, never stacked on what you've placed.
3. Add your guest list. Type names in, or import a CSV if the list already lives in a spreadsheet. Guests wait in the sidebar until seated, so nobody gets lost between list and chart.
4. Assign seats. Click a seat, pick a guest. Per-table counts update as you go, which is how you catch the nine-people-at-an-eight-top problem before the caterer does.
5. Export. The Export menu produces the chart PDF plus the matching paper goods — place cards, table numbers, table tents, name tags, and a find-your-seat entrance poster — all generated from the same chart data.

An interactive builder, not a drawing app

In a drawing tool, a seating chart is circles with names floating near them: move a table and the names stay behind, delete a chair and nobody notices the guest went with it. In this builder every seat is data. Guest assignments travel with their table when you rearrange the room, unassigned guests stay visibly queued in the sidebar, and the exported guest list regenerates from the live chart — never from a copy that drifted out of date. That difference is why the chart survives the fourth round of RSVP changes instead of being redrawn.

The chart also saves itself to your browser on every change. Close the tab mid-build, come back tomorrow, and the room is exactly where you left it — no account required until you want cloud sync across devices.

Build for the venue you actually have

Most online seating chart builders treat the venue as a generic rectangle. That fails the moment your real space includes a pillar, a dance floor with fixed dimensions, a fireplace nobody can sit too close to, or a tent pole that splits the room. Seat Chart App's builder assumes the venue is the thing, and the chart bends around it. Move tables individually, rotate banquets to follow a wall, leave gaps for service paths. The chart is for the day-of coordinator — not for an abstract floor plan.

Practical tips: leave at least four feet between table edges for a chair-back walking path. Don't seat anyone with their back directly to the bar entrance. Reserve a seat near the kitchen door for the day-of coordinator if you're hosting more than fifty guests. The builder won't enforce any of this — these are your calls — but the drag-drop is fast enough that you can try three layouts before committing.
